1.   Introduction

This manual is intended to be used by helpfinder Independent Local Area Directory Associates (IDA) to enhance the helpfinder experience.  If you have reached this page, and are not an IDA, please leave as this page contains CONFIDENTIAL information intended for IDA and helpfinder associates ONLY.

helpfinder was created out of necessity.  Phonebooks, and other online directories lack the uniqueness provided by helpfinder.us.  From personal experience, the founder of helpfinder, has decided to provide a HIGHLY functional and useful LOCAL AREA DIRECTORY where users are provided a small number of listings in each category (usually 5) to choose from; thus reducing the time consuming and frustrating process of selecting form a huge number of listings.  IDAs manage their directories to insure that the listings contained are reliable, provide quality products and services in a timely manner and reasonably priced.  Failure to provide this type of service by the listing customer will result in the removal of the listing and refunding of their listing fees.

helpfinder is unique.  Unlike the phonebooks, where it is almost impossible to find what you are looking for...in your area...and without the "crap-shoot" selection process.  Phone book subscriber pay huge listing fees, with no way of knowing if it was the phonebook advertisement that brought the customer to them.  helpfinder provides a "hit" count along with the annual renewal invoice (provide electronically, in the form of an email), that tells our customers how may times someone used their helpfinder listing to go to their website, start and email or went to the mapping feature associated with their listing.

Unlike the hundreds of search engines that are out there...helpfinder provides listings of local area businesses that provide quality products and services...AND IT IS A SHORT LIST.  Instead of dealing with hundreds or thousands of worthless or time consuming search results; helpfinder provides 5 listing for the user to select from.  helpfinder listing customer pay a modest annual fee to be listed; thus eliminating the ad-word costs or the added listing fees which are usually 10-50 times that of helpfinder.  So, our customers know that users will SEE their listing in helpfinder, and not be lost in the thousand of hits of other sites.

helpfinder also provides affordable website creation, website hosting and routine website maintenance. Originally set up to service Home Owner, Associations (HOA) and Condominium Associations (PUD), helpfinder now performs these services for all of our clients; including listing customers.  Instead of paying those ridiculously high prices for website design setup and hosting...helpfinder has created a way of doing all of this for a fraction of the typical costs (research show that we perform all of these functions for about 10% of the competition).  So, if your HOA, PUD or listing client have been reluctant to start a website because of the cost...helpfinder provides an affordable solution.

2.  Computer Issues

  1. helpfinder is committed to helping IDAs to succeed.  One of the most effective methods of helping you with computer problems is to remotely access your computer and perform the necessary adjustments as if we were there with you..  You need to have the access software installed before anything goes wrong...so, it you want us to help, click here and follow the directions given.

  2. Before you install helloworld or VM Direct software you should follow the steps as described by clicking here.

  3. Using a MAC, read this...

View Videos on a Macintosh Computer

To view videos on a Macintosh computer, please follow the instructions below:

  1. Download the Firefox Browser by going to http://www.mozilla.com
  2. Download the Flip4mac player at http://www.flip4mac.com and look for the free Windows Media Player for Quicktime.

With these two components, you should be able to view video emails created on helloWorld or VMdirect.

To Create Content on a Macintosh Computer and send them from helloWorld or VMdirect Mail

We recommend the Apple iSight camera for capturing video.  Also, upgrade your Quicktime Player to Quicktime Pro.

You can create media using Quicktime Pro or iMovie, and then save the video file as a .mov file.  Now, simply upload the video clip to your Media Vault.  From there you can move the media into your mail folder.  You can now send the video in an email from your studio inbox using the same steps as you do now for sending existing videos

Intel-Based Macintosh Computer

If you are using an Intel-based Macintosh computer, please remember to download the latest Intel processor to ensure that your Studio product functions properly.

Another Word about Macs
Your helloWorld Studio requires the installation of a MS software control file, named ActiveX, to integrate the streaming video recorder throughout the different features of your Studio.  Since Macintosh doesn't support ActiveX, it will prevent your helloWorld Studio from functioning properly on your Mac.  While you should be able to view our high-quality streaming video on any Mac with OS10 or better; it may be necessary for you to install certain upgrades in order to utilize your Studio to create original content.

Any Macintosh computer equipped with an Intel Processor with Apple OS10 or better is capable of running Microsoft Windows XP providing you have installed Mac's Boot Camp.  Once you have Boot Camp and Windows XP installed you should be good to go.

 Thank You,

The VM DIRECT Customer Support Team

3.   How helpfinder works

helpfinder provides a QUICK REFERENCE Local Area Directory for rapid information retrieval.  With only 5 listings per category, the local area directory is designed to provide users with information quickly, and get them on there way.  Each listing provides listing clients with a link to a desired website that is associated with their company name;  the Contact link can be either another link to a webpage...or auto-starts and email to the contact person;  a contact phone number is part of the listing; and a mapping link is associated with the company address.

a.   Listings - Each listing provides listing clients four areas of listing

  • Company Name - with a link to a desired website that is associated with their company name

  • Contact Person or site -  the Contact link can be used to auto-start an email, or another webpage (contact information page or other web page)

  • Contact phone number  - a phone number for contact...future plans for this number are currently being tested.

  • Company Address - mapping link will display a map of the address so that you can route your travel to the listing client.

  • Video - not yet available - currently we are planning for and developing a video email link and video link which will allow a user to see a video/audio communication (short advertisement or welcome address) from the listing client.

Listings are $180 annually, per listing, per category, per directory.  Clients are encouraged to place a link on their website to helpfinder.us.

Corporate listing rates apply to corporations that have more than 5 locations should use their hfa00967 code to obtain the reduced rate.

When you manually enter a listing - it is always a good idea to send a THANK YOU email, to show the customer that you have their interests at heart.  You can make up your own, or here is one that I use.

Subject: your local area listing

Hello,

Thank you for listing with helpfinder.us.  Your listings are now active.  Please take a moment to proof each of your directory listings for accuracy and proper linking.

Welcome to the new era in directory services.  We hope that you receive your expected goals from your listings, and we anticipate a long and happy relationship with your business.  We anticipate that helpfinder will be as common as Google…so, welcome aboard.

  4. Did the HFHQ team make the process easy?
  5. Did the HFHQ team help her through the process?
  6. Was she able to find a web design she liked from the offerings?
  7. Was there an up charge?
  8. Was she satisfied with the outcome of her website (realizing that it is not a custom website)?
  9. If starting a new business would she use helpfinder to design another website?
  10. On a scale of 1 thru 10 (with 1 being the worse and 10 being the best) please rate the overall HFHQ website experience.
  11. Any suggestions for improving our service?

c.   How the IDA comes into the picture - an IDA is an Independent Local Area Directory Associate.  They are independent contractors that are paid with a 1099.  IDAs are the only level of communication between the listing customer and helpfinder. Typically, listings in a directory come form corporations who may have an office or franchise in the area, or small business.  It is not uncommon for organizations and non-profits, or hospitals to also list in our helpfinder local area directory.  Listings may be obtained in a number of ways, but the most common are (a) the IDA contacts the listing client and obtains the subscription, (b) the listing client subscribes online, (c) a corporation lists their locations or franchised locations in multiple directories.  However, third party marketing is now entering the picture, where an IDA will enter into a income sharing agreement with a telemarketer or other "boots on the ground" company to expand subscriptions by directory or area location.  The IDA is responsible for the content in each of their directories and have primary responsibility for managing the the directories assigned to them.

IDAs are encouraged to offer listing anywhere, including directories that are not theirs to manage.  In cases where an IDA obtains a listing in another area, the IDA obtaining the listing (by referral in the case of online sign-up) will be paid the commission for the first years listing period.  In year two, and every year thereafter, the IDA who is managing the directory will receive the listing commission.

IDAs that initiates or are instrumental in the obtaining of corporate accounts (15 listings or more) are paid the entire first years IDA commission for all of the corporate listings obtained.  In each year that follows, the commissions for each individual listing will be given to the IDA in charge of the directory in which the individual listings occur.

d.   about communityfirst.Info - communityfirst.info is currently a subsidiary of helpfinder.  It is treated as its own company.  communityfirst.info is independently managed, but has direct ties to helpfinder for IDA listing support as well as operational support.  communityfirst.info also has their own IDA infrastructure for their company.  communityfirst.info is a community segment oriented local area directory service, similar in operation to helpfinder, except that the directories are structured to accommodate community segment operations.  Listing clients in communityfirst.info are by default offered the opportunity to have their listing in helpfinder at no additional charge (subject to space availability and content approval by helpfinder).  helpfinder IDAs who are the beneficiary of a communityfirst.info listing will receive the helpfinder commission starting in year two.

helpfinder IDAs may also list customers in communityfirst.info.  helpfinder IDAs will receive the first years commission on all listing sold in communityfirst.info.

e.   about future associations and partnering - it is anticipated that helpfinder will continue to grow and prosper.  Partnerships and associations with other companies may happen.  In each case where partnering and business associations are considered, helpfinder will offer IDAs the ability to offer other products and services as part of their directory management scheme.

Future buy out - helpfinder will remain a privately held company unless a complete corporate buyout is made.  When an offer by another corporation is made for buyout, helpfinder will allow the IDAs to meet or beat the best offer in order to purchase helpfinder as an internally controlled private corporation (similar to an employee held company).  In the event that the IDAs are unable to purchase helpfinder, or are unwilling to try, then helpfinder may enter into negotiations to sell "helpfinder" outright.  In the event that this scenario occurs, helpfinder will negotiate conversion of IDA directories into the new company as part of the sale, or will negotiate a directory buyout on behalf of each IDA's directories with the negotiated price of each directory being paid to the managing IDA.

f.    CONFIDENTIAL INFORMATION - Confidential Information for the IDA

g.   Corporation Listing information -  Corporate rates are structured similarly to individual listing rates, except that those rates are reduced because of quantity.  The rate offered to a corporation will be similarly structured in that there will be a discount for providing a link to helpfinder from their homepages.  Additional consideration may be made to corporate subscriptions.  For example, a percentage of the final listing price may be donated to an agreed upon charity in the names of the corporation and helpfinder.  However, any negotiated considerations will not impact or reflect in decreased commissions being paid to the IDA.

Information for the prospective Corporate Account

General Corporate mail out letter, or intro letter that the IDA can modify

ONLINE Corporate Listings - Corporations are coming in more and more flavors.  The most difficult for helpfinder to deal with is the FRANCHISE corporate structure or the structure that allows each location or group of locations to handle their own business.  So we have broken the mold that would have forced us to deal only with the main corporate marketing folks and allowed us to deal with the local area marketing people.

- The regular "Listnow" form on both HFA and CFI now has a new field called "Account ID", just above the "Referral Source" field. The caption reads "(Optional) If you have a corporate account number or other code, please enter it above. If not, leave the Account ID field blank."
- So to get the better rate... the person just has to enter the Account ID in that field.
- Right now there is only one valid account ID (which, as you will surmise, is not really an account ID - it's really just a password
but nobody need know that) which is: hfa00967
- That's lower-case h f a and five digits 00967.
 hfa00967
- If you provide this code to someone, they will be able to add listings at the corporate rate.

4.   My Directories

  1. building my directory

As an IDA, you will have a mentor.  This is a person who has already done what your are setting out to do.  Use them, that is what they are there for.  They are committed to your success, and the success of helpfinder.

helpfinder and other IDAs will help you build your directory, but they won't do it for you.  If you want to be successful you have to go out and earn it.  It doesn't, and shouldn't, be hard; and you should enjoy it.  helpfinder will let you meet people and build your business network.  You will have to be proficient in the operation of helpfinder and visualize how helpfinder will help each business you approach.

When others get corporate accounts that have a listing in your area, you get the commission starting in year two.  When IDAs list customers that want to expand into your areas, you get the commission starting in year two.  Likewise, you are encouraged to seek corporate listing and listing in other areas; you get paid the commission for the first year...and the IDA where the listings reside get the commission starting in year two.  We help each other to build helpfinder.

One of the quickest ways to meet people in your local area is by joining the local Chamber of Commerce.  You will need to socialize and go to their mixers.  The benefits will far outweigh the costs.  Get involved, meet new people and offer the good ones the opportunities of helpfinder.

helpfinder will be spending 25% of every listing dollar on advertising.  The advertising dollars are administered by our own Advertising Group.  They will make recommendations to the board of trustees on how they believe those dollars can best be spent.  It is their goal to build helpfinder to be nationally recognized as the local area directory of choice.

Once you have your fliers and business cards, one of your first stops should be the local newspapers to see about getting a press release.  If your press release is anything like our first one you will be off and running...literally.

Networking groups are another great way to offer opportunities to list and create web site hosting.

Telemarketing will be offered in the near future.  This is a great business opportunity to fill your directories quickly.  A number of options are on the drawing board which will allow the telemarketer and the IDA with mutually beneficial results.

  1. press releases

    our first press release

    our standard press release

  2. advertising methods

press releases - no cost and IDA initiated (THIS IS THE PLACE TO START)

newspaper articles - minimal cost and usually IDA funded

Here is a sample of a helpfinder advertisement when used as a bottom banner of a newspaper. We will set the ad for you, and all you do is provide it to the newspaper for submission.

radio - low cost and may be funded by IDA or helpfinder

television - moderate cost and may be funded by IDA or helpfinder

transportation (buses, cabs, transportation stops) - moderate cost and may be funded by IDA or helpfinder

billboards - moderate to high cost and will be funded by helpfinder

telemarketing - not intended to be advertising but it will definitely provide exposure.

  1. chamber of commerce

Almost any size town has a Chamber of Commerce.  This is the primary way, besides smaller businessmen associations.  Chamber of Commerce usual have a directory of member businesses available to other members, but remember...not all good businesses belong to the local chamber, so keep your options open..  Chambers also have mixers where you may pick up leads to corporate accounts.  National accounts can bring large revenues in a short period of time.

  2. networking groups

most areas with more than 10,000 people have networking groups.  You don't have to join to be a guest and present your offerings.  NetworkPros is a nationally known organization and has lots of groups throughout the United States.  Associations are also a good way to make offerings, and cover all types of businesses from gifts to locksmiths, to luggage dealers, to contractors and beyond.  And with a little research you can fill your plate with meetings to tell them about helpfinder.  This is a great way to fill an entire category in one shot.

  3. calling on prospective customers.

Warm Calls - Warm Calls can be made on the phone, by email or in person.  These calls are to someone you know or have met previously.  You should be more comfortable with this type of call because the ice has already been broken.  However, I recommend not deviating from your practiced and rehearsed listing speech.  You need to be so comfortable with the information you are about to impart that it is smooth and polished as well as professional.  Write it down, refine it, practice it, memorize it.  Practice on your best friend, and have them critique you.  Remember, practice make perfect.  Then try it on someone who you know that might need the listings you are offering.  Trust me, the more you do it, the more it becomes second nature.

Cold Calls - Most of you have stumbled with your first helpfinder cold call.  While I urge you to try the warm calls first…don’t let any opportunity pass you by.  Remember what Sol Price said and did to me?  “My name is Sol Price, and I have a business opportunity for you…can I have a moment of your time.”   He gave a brief rehearsed dialog and then asked the critical question…”can I have your support?”  As an IDA you need to create your own 3 stage offering.  Start by introducing yourself and ask if you can have a moment of their time.  If they say they are busy, thank them for their time, ask them to use helpfinder (leave a card with the directions) and ask if they know of any other good businesses who might be interested (that is known as a power packed exit).  If they say yes…keep it brief, usually less than a minute if they don’t offer you a computer.  After explaining helpfinder, ASK IF YOU CAN HAVE THEIR SUPPORT! (that is known as closing the deal).   Whether you get the listing or not, ask if they know of any other good business who might be interested (again, with the power packed exit).  So, what did we do here…

    1. We showed the customer that their time is valuable.  They may say no, in which case you are not out anything because you didn’t have their listing when you came in.  I they say yes, it is up to you.  Or they may say come back later…which is still better than saying no.  And by asking for a referral, you can say that "Joe Blow" thought this would be of interest too you…a great lead in.
    2. If you leave without the listing them you may have gained a user by leaving your card and being polite.  If they throw the card away, Rick is out a dime, but the helpfinder name got out there…so I won.
    3. If you leave without the listing but got the chance to explain helpfinder, they may list on their own.  It is only the idiot that can’t see the wisdom in listing with helpfinder and you don’t want them in your directory anyway.
    4. If you got the listing and forgot to ask for the referral you only accomplished half of the job…so ask if they know of any other GOOD businesses who might be interested.
    5. With what I have given you in this short paragraph, you have maximized your time and effort with your contact.  This will probably mean that you only make one visit, or atleast set an appointment for taking the listing and holding their hand through the process.

Here is a short intro that you can use, modify or whatever, in a flavor of your own.

Hi, my name is Rick Fish and I am a local area representative for helpfinder.  Helpfinder is a unique online directory designed so customers can quickly and efficiently find a short list of good companies and get on with their busy lives.  We are building a nationwide network of local area directories which will be America's top directory of local businesses, professionals, and service providers. Our directories were created to help people that are looking to find quality products and services, at affordable prices and provided in a professional manner.  Users are offered a shortlist of no more than five listings per category.  So, no more nightmare of all those listings you get with phonebooks or the large search engines…just 5 listings per category.  We have identified you as a company that meets our standards, and would like to offer the opportunity to list in our directories.  Would you like me to explain?

  1. managing my directory

As an IDA, you are expected to manage your directory and build it in the way you think is best.  Honesty and integrity is what sets you and helpfinder apart from other directory service.  You are expected to watch over your directory as if it were your child.  Remember the "Golden Rule" in all of your dealings and treat you customers with the respect they deserve as a customer.

On rare occasion, it may be necessary for you to contact a listing customer with regard to a complaint (usually generated from the helpfinder home office).  More often than not, the complaint will be unfounded and may even be generated by another business who is waiting inline to be listed.  As an IDA you are not expected to play Solomon and resolve the issue on your own.  It is better to let the home office of helpfinder do that for you.  However, if you can reach an agreement between the two parties...your resolution will usually keep a situation from escalating.

In the even more rare case where it is necessary to remove a listing for not meeting the helpfinder standards, that removal and the refunding of funds MUST come from the home office.  Promptly report any harassment aimed at you to the home office and we will seek legal action and/or police intervention if the situation warrants.

As an IDA you will be given a username for each of your directories, and a password.  With these items you can log into your accounts at http://helpfinder.us/login and enter new listings or modify existing listings.  The software will know which directory to open for you.  Typically a listing will remain static once it is entered.  However, we are all human and typos do occur, both by the customer and by you.  DO NOT leave broken links or typos exist.  It is in everyone's best interest to "get it right."

You cannot delete a listing, and certain aspects of a listing you cannot change.  For instance, you cannot change the commitment level once it is set.  It will be necessary to contact the home office and have them make those types of changes.

  2. managing my listings - How to create or correct a listing in your Local Area Directory

back to the table of content

  1. The helpfinder side of the equation - helpfinder is committed to creating and maintaining a long term relationship with each IDA.  Even thought IDAs are Independent Contractors, a certain level of intimate association is required as helpfinder and the IDA are indirectly partner in the helpfinder business.  Helpfinder provides the core products and operational needs for the IDA.  The IDA operates the directory or directories which helpfinder has approved and assigned to the IDA.  Each directory then becomes its own business and is managed and belongs to the IDA.

    1. Setting Core Values

      1. helpfinder is founded on "a gentleman's agreement".  However, that agreement is equally binding as any written contract.  The terms and conditions of the agreement are simple, and are constructed on two basic principals of honesty and integrity.  All parties to this agreement, helpfinder corporate individuals, IDAs, and helpfinder associates are committed to protecting themselves by maintaining the integrity of the whole... by thinking of others first.  This doesn't mean that we will compromise or reduce the honesty, integrity and professionalism ideals to satisfy others.

      2. There are NO CONTRACTS to sign, only the understanding and agreement to conduct ourselves with honesty and integrity, abide by the helpfinder guidelines, and do business in a professional manner.  By accepting the business opportunity of becoming an IDA with helpfinder, the IDA agrees to the "gentleman's agreement", and is assumed to have agreed in principal to the agreement.  IDA's will receive a UserID and password for each directory, which is their receipt that the management of the directory to the IDA by helpfinder, and that the directory will remain the property of the IDA for as long as the IDA actively works, grows and manages the directory.

      3. IDAs are assigned directories, and once assigned remain the IDA of record and receives the revenues of the directory based on which plan they became an IDA under.  Under both plans, if an IDA who is not the IDA of record gets a listing the another IDAs directory, the IDA who got the listing will receive the first years revenue and the IDA of record receives nothing for the first year.  In year two, the IDA who obtained the listing in another's directory receives nothing and the IDA of record receives the recurring revenue.  Revenues are based on a percentage.

      4. Plan A IDA's recieve 25% of the listing sale.

      5. Plan B IDA's recieve 50% of the listing sale.

      6. Under both Plan A and Plan B - IDAs recieve 0% of telemarketing sales during the first year of the listing.

      7. helpfinder provides IDAs with their first set of business cards and fliers at no additional charge...so, it costs the IDA nothing to create their own helpfinder business opportunity.

      8. helpfinder has developed and will continually refine and enhance its training program which will include a mentor to aid in the IDAs success.

    2. Our commitment to the IDA

      1. Effective March 1, 2008 helpfinder will create a Plan B for IDAs.  Plan B

        1. an IDA will be required to purchase the assignment of a directory for a fee of not less than $2,500 (one time charge) and $250 per month.  The assignment shall be for a minimum of one year and the assignment fee is nonrefundable..

        2. monthly fees shall be reduced by $10 per new listing (paid or courtesy) within a given month until no monthly fee is owed to corporate for that month.  (25 listings per month would result in $0 dollars owed for that month).

        3. IDAs who pay for their directory assignment are guaranteed the assignment for minimum of one year.

        4. IDAs under Plan B  will receive 50% of paid listings.

      2. Once a directory area is assigned to an IDA it is his or hers for as long as the relationship remains intact (under Plan A and Plan B).  Maintaining a good relationship is critical to the overall success of helpfinder.  Keeping the relationship intact requires commitment on helpfinder part that directories assigned to an IDA will not be arbitrarily resized or taken away, and that the recurring revenue stream created by the IDA will remain intact.  Therefore, once an IDA is assigned a directory, that directory will remain the territory of the IDA (together with the recurring revenue stream) for as long as the IDA wants to remain an IDA or until one of the following instances occurs:

      3. by mutual agreement, the IDA gives up the directory.

      4. the IDA does not populate or grow the business; In which case helpfinder will attempt to resolve the situation in a mutually beneficial manner.  Should the situation not be resolved after a reasonable length of time, helpfinder will notify the IDA that on a specific date, they will no longer represent helpfinder for the directory or directories in question, and remove them as an IDA.  If the IDA has established more than 250 listings under there term as IDA, they they will receive the recurring income for their listings (only the listings they obtained) for an additional 5 years from the date of removal as IDA.

      5. the IDA decides to sell the directory (must be approved by helpfinder in writing) (directories cannot be given to another without approval of helpfinder in writing)

      6. the IDA misrepresents helpfinder, and does not resolve the issues surrounding that misrepresentation in a timely manner.  In which case the IDA will be notified and after a reasonable length of time, removed as the IDA of said directory.

      7. the IDA is unable to continue as the IDA either by death or medical condition.  In which case helpfinder will determine the best course of action, either selling the IDA's directory and giving the proceeds to the IDA or their family; or managing the directory until the IDA is able to do so for themselves; or create a condition where the IDA receives compensation  (determined by helpfinder) until the directory is reassigned.

    3. The IDA commitment to helpfinder

      1. The IDA is expected to conduct themselves in an honest and professional manner at all times, realizing that they are representing helpfinder and all other helpfinder IDAs by their actions

      2. The IDA is expected to manage the directory or directories under their assignment.  helpfinder will assist when requested.

      3. The IDA is expected to perform due diligence in populating directories with listings and providing customers who need website development and hosting with the opportunity to do so.  helpfinder will assist when requested.

      4. The IDA is expected to help other IDAs populate their directories by recognizing and providing good companies the opportunity to list in other IDA's directories and obtaining of website services.
